Key Responsibilities

  • Support portfolio reporting cycles by collating status updates from Delivery Leads, identifying gaps, and preparing Exec-ready summaries for our leadership and customers - proactively chasing updates when they are missing or late.
  • Maintain and administer the portfolio RAID log - tracking risks, issues, and dependencies across value streams, ensuring records are accurate, up to date, and properly categorized; identifying and flagging at-risk SKRs, overdue dependencies, and escalation items with clear context for the PMO Manager.
  • Administer portfolio tooling and maintain reporting outputs, ensuring board hygiene, data quality, and template standards are upheld across the delivery hierarchy, with dashboards and artefacts accurately reflecting current delivery status at all times.
  • Translate agreed processes and ways of working into clear, usable documentation -including written process guides, workflow diagrams, and Confluence pages, ensuring the team has a consistent, accessible reference for how we operate.
  • Maintain and organize the portfolio document library - managing governance documents, templates, decision logs, and artefacts in a structured and version-controlled way so they are accurate and easy to find.
  • Coordinate and support governance forums - scheduling meetings, preparing agendas, capturing actions and decisions, and following up on outstanding items.
  • Support the PMO Manager and teams through quarterly planning cycles - coordinating preparation activities, capturing cross-functional dependencies and capacity demands, and ensuring outputs are accurately reflected in portfolio tooling.
  • Act as a point of contact for PMO process queries, promoting consistent adoption of governance standards and tooling practices across the team.

Who We’re Looking For

  • 3+ years proven experience in a PMO, delivery coordination, or portfolio administration role within a technical or managed services environment.
  • Good understanding of RAID management - comfortable working with risks, issues, and dependencies at both project and portfolio level, including cross-value stream dependencies.
  • Ability to identify trends, surface emerging risks, and translate data into insight for the PMO Manager.
  • Demonstrable Jira administration and confluence experience.
  • Experience creating process flow documentation - whether that’s mapping out how a governance process works, documenting a workflow in Confluence, or creating a simple visual to help the team follow a process consistently. You don’t need to be a process design expert, but an ability to capture and communicate ‘how we do things’ clearly is something we’ll lean on.
  • Confident communicator - written and verbal. Comfortable engaging with Delivery Leads and senior stakeholders, including chasing for updates when they are missing or late.
  • Pragmatic and adaptable, with the ability to flex priorities and ways of working in response to a fast-moving delivery environment without losing sight of governance standards.
  • Detail-oriented with a disciplined approach to governance hygiene; takes ownership of data quality issues through to resolution rather than simply flagging and moving on.
  • Strong understanding of outcome-based delivery models and quarterly planning cycles is essential.
  • Comfortable working with AI-assisted tools and workflows, with a willingness to adopt and embed emerging AI tooling as part of day-to-day PMO practice.
